This Privacy Policy explains how CaterLinked (“CaterLinked,” “we,” “us,” or “our”) collects, uses, and shares information about individuals (“you” or “your”) who interact with the CaterLinked ecosystem. The ecosystem includes the CaterLinked Community (powered by Circle), the CaterLinked Academy (powered by LearnWorlds), our Events (virtual and in-person), our websites and mobile apps, and any related services that link to this policy (collectively, the “Services”).

Your use of the Services is also subject to our Terms of Service. We may update this policy from time to time. When we do, we’ll change the “Last Updated” date and, when required, provide additional notice (e.g., email or in-product notice).

1) Who we are and scope

CaterLinked is a single ecosystem. This Privacy Policy applies to:

• Community: our online discussion forums, groups, and networking spaces (powered by Circle)

• Academy: our learning and certification platform (powered by LearnWorlds)

• Events: our webinars, workshops, and in-person conferences

• Related Services: websites, apps, forms, surveys, promotions, and communications

Our technology providers (Circle, LearnWorlds, and others) act as service providers and process data to help us operate the ecosystem.

2) Information we collect

We collect the following information when you use the CaterLinked ecosystem:

• Account & profile: name, email, password or SSO details, photo, job title, company, bio, interests, and profile fields you complete

• Content & communications: posts, comments, messages, surveys, reviews, uploaded files, and other content you share across the ecosystem

• Events: registration details (name, email, phone, job title, organization, location, preferences such as dietary requirements), attendance, and engagement data

• Payments: if you buy memberships, courses, tickets, or other items, your payment details are processed by our third-party payment processor(s); we don’t store full card numbers

• Support requests: information you provide when contacting us

• Device & usage data: IP address, device identifiers, browser type, OS, referring/exit URLs, pages viewed, links clicked, videos watched, purchases, timestamps

• Session analytics: analytics or session-replay tools (tracking clicks, scrolls, interactions) may be used to improve the Services

• Approximate location: derived from IP address or postal code if provided

• Cookies and similar technologies: we and our partners use cookies, pixels, SDKs, and similar tools for functionality, analytics, and (where permitted) marketing

• Third-party sources: information from platform providers, integrations you enable, social sign-ins, event or marketing partners, sponsors, and other members

3) How we use your information

We use information to:

• Provide and improve the Services, personalize your experience, and operate ecosystem features (accounts, profiles, courses, networking spaces, events, and support)

• Process transactions and maintain purchase and attendance records

• Communicate with you about your account, updates, security alerts, and—if you opt in or as permitted—about products, services, promotions, and events across the CaterLinked ecosystem

• Support events (registration, logistics, follow-up, and access to recordings or materials)

• Analyze usage to understand performance and trends and improve offerings

• Maintain trust and safety, detect and prevent fraud, abuse, and violations of our Terms

• Comply with legal obligations and enforce our rights

• Any other purpose disclosed at collection or with your consent

4) How we share information

• Within the CaterLinked ecosystem: We treat the Community, Academy, Events, and related services as parts of one system. Information you provide in one part may be used across others (see Section 6).

• Platform providers: Circle and LearnWorlds process data to operate their platforms on our behalf.

• Service providers: Hosting, analytics, communications, payment, ticketing, event management, support, marketing, and security vendors.

• Other members / public: Content you post may be visible to other members or, depending on settings, to the public and search engines.

• Event sponsors & co-hosts: Limited attendee information (name, company, title, email) may be shared with sponsors or co-hosts if you opt in or as stated at registration.

• Partners & affiliates: For the purposes described in this policy.

• Analytics & measurement partners: For aggregated insights.

• Legal & safety: As required by law or to protect rights, safety, and integrity.

• Business transfers: In the event of a merger, acquisition, or sale.

• With your consent or direction

We do not sell personal information. Where advertising/analytics is considered a “sale” or “share” under law, we will honor opt-out rights.

5) Cookies, ads, and “Do Not Track”

You can control cookies in your browser/device. Essential cookies are required for some features. We currently do not respond to “Do Not Track” signals.

6) Cross-platform operations within the CaterLinked ecosystem

CaterLinked operates as a single ecosystem. Information you provide in one part (Community, Academy, Events, or related services) may be used across the ecosystem to deliver features, personalize your experience, and improve our services. For example:

• Your profile information may appear in both the Community and the Academy

• Course completions in the Academy may be displayed in the Community or highlighted at Events

• Event registrations may update your Academy or Community account and grant access to related resources

• Ecosystem-wide communications (emails, notifications) may cover Community, Academy, and Event activities together

By using any part of the CaterLinked ecosystem, you agree that your information may be shared across all parts of the ecosystem for the purposes described in this Privacy Policy.

7) International data transfers

We process data in Canada, the United States, the EEA/UK, and other regions where our providers operate. When transferring data internationally, we use safeguards permitted by law (e.g., Standard Contractual Clauses for EEA/UK).

8) Security

We use reasonable administrative, technical, and organizational measures to protect your information. No method is 100% secure.

9) Data retention

We retain personal information as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements.

10) Your choices & controls

• Update or delete your account information by logging into your account or emailing us

• Unsubscribe from marketing emails via provided links (you will still receive transactional emails)

• Manage push notifications in your device settings

• Disable precise location in your device settings

• Adjust cookie/analytics preferences in your browser

• Opt in/out of sponsor sharing at event registration

• Manage third-party integration settings with those providers

11) Your privacy rights

EEA/UK (GDPR): rights to access, correct, delete, restrict, object, portability, and withdraw consent.

California (CCPA/CPRA): rights to know/access, correct, delete, and opt out of “sale” or “sharing.”

Canada (PIPEDA/BC PIPA): rights to access and correct personal information and challenge compliance.

We verify and respond to requests as required by law.

12) Children’s privacy

Our Services are intended for individuals 18 years and older, or 13–17 with parental or legal guardian consent. We do not knowingly collect personal information from children under 13.

13) Third-party links, integrations, and social features

Our ecosystem may link to or integrate with third-party services. Your use of those services is governed by their terms and policies.

14) Monitoring and moderation

We may monitor transmissions and content within the Community and other Services for operational, trust, and safety purposes and may remove or restrict content that violates our Terms.

15) Changes to this policy

We may revise this policy periodically. Material changes will be communicated as required. Continued use of the Services after updates means you accept the revised policy.
